MEWA Textil-Service SE & Co. Management OHG aims to systematically digitize its HR processes and make them more efficient. Key HR systems, including SAP HCM and a digital personnel file, were already in place. To further optimize the creation, signing, and audit-proof storage of HR documents, MEWA decided to implement the XFT Document Composer.
DATAGROUP implemented the service and seamlessly integrated it into the existing system landscape. The project involved two specific requirements: connecting the existing e-file system from aconso and integrating the DocuSign e-signature solution. Both aspects required close technical coordination and, in some cases, customer-specific enhancements.
Mewa already had core HR systems in place, including SAP HCM and a digital personnel file. Building on this foundation, the company aimed to further digitize its HR processes and efficiently create, digitally sign, and archive documents in an audit-compliant manner directly from within SAP. This approach was planned for a wide range of HR documents, including employment contracts, contract amendments, and various standardized letters.
DATAGROUP provided comprehensive support to Mewa during the implementation of the XFT Document Composer and seamlessly integrated the solution into the existing system landscape. Together with the client, the business and technical requirements were defined during a structured kick-off meeting and through targeted coordination sessions to implement a tailor-made and future-proof solution.
The measures implemented in close collaboration with XFT included the installation and customization of the XFT Document Composer in SAP, the integration of DocuSign for e-signatures, and the automatic filing of documents in aconso’s digital personnel file.
The close integration of the involved systems resulted in a seamless digital process for the creation, signing, and archiving of HR documents. Media breaks are reduced, and administrative processes are simplified in the long term.
To ensure the project’s successful implementation, DATAGROUP consistently relied on close and continuous collaboration with all stakeholders. Regular update and coordination meetings ensured transparency at all times and enabled fast, targeted decision-making.
A particular focus was placed on knowledge transfer and enablement: through hands-on training, HR administrators were empowered to independently create document templates, integrate the corporate design, and operate and further develop the Document Composer themselves over the long term. This approach was supplemented by detailed technical and functional documentation of all customizations, processes, and interfaces.
