The audit-proof storage of documents is not only a legal requirement, but a well-functioning archive also facilitates the work of companies by making documents quick and easy to find. Since 2017, DATAGROUP has been managing the OpenText Archive Center archive solution for Berliner Stadtreinigung (BSR) in application management and providing support and further development.
All electronic documents that are related to an SAP document, such as invoices, must be stored in an audit-proof manner for the statutory period. To implement this, BSR opted for the OpenText solution, which was connected to its SAP system.
As there are a large number of archiving systems released by SAP and each individual system requires its own expertise, this involves specialist knowledge that must first be built up and continuously updated. To avoid having to build up internal resources for the technical support and further development of the complex system, BSR chose DATAGROUP as a partner and outsourced the application management to them.
Since then, DATAGROUP has taken over the elimination of faults, the implementation of change requests, update management and also the complete application development for the archive system if, for example, a new view of documents or other adjustments to the system are required. DATAGROUP also handles the technical exchange with the manufacturer, for example if new aspects such as virtualization software are to be supported and adjustments are required by the manufacturer.
DATAGROUP is currently supporting BSR with the introduction of SAP Information Lifecycle Management. The aim of the project is to implement this in the SAP CRM system to ensure GDPR compliance. Like many other things, information is subject to a lifecycle. While there is some data that must be permanently available, many others are subject to deletion periods, especially for personal data. With SAP's ILM solution, BSR can continuously control and efficiently manage its data at every point of the lifecycle, from creation to final deletion - while complying with data protection.
BSR can implement individual rules according to which the CRM system data is blocked and later deleted. The database is kept compact with ILM and the systems are not cluttered with outdated data volumes.
